January 2016 Meeting Minutes

HOOSIC VALLEY ATHLETIC ASSOCIATION

January 14, 2016

Meeting called to order at 7:02 p.m. by Sean

Attendance:  Sean Brown, Kim Giordano, Al Lewis, Bobby Keyes, John Bartis, Jerry Ciazza, Paul Schram, Matt Waryas, Tammy Morrissey, Amelia Manders, Janice Lee, Scott Rice, Denise Reilly, Melissa Simpson

Minutes:  No corrections made

Treasurer Report: Nothing new reported.

Registration:

Thanks to Bobby for putting registration signs up. Sean reported that there are 19 registrations already online. Amelia mentioned that the website was confusing. Sean offered to write up some instructions. Amelia offered to help with the website. Registration is 2/6 and 2/13 and Sean requested volunteers to help from 9 - 12. Sean, Nicole, Al, John and Kim will be there.

Snack Bar: Bobby distributed snack bar reconciliation report for review.

Coordinators:

Scott reported that he has 8 teams for CYO – 5 boys and 3 girls teams - and that all teams are doing good. Skills and drills for 1st and 2nd grade boys and girls will be on Saturdays in February: Boys will be instructed by Paul Schram from 9 – 10:30 and girls by Jerry Ciazza from 10:30 – 12:00. Scott will have a skills & drills instructional guideline form for coaches.

Scott agreed to send Sean info for learn and play. Janice offered to distribute flyers in school.

Sean reported for Tony that there will be open gym for JV and Varsity girls for softball on Saturday evenings from 7 – 8:30 p.m.

Old Business:

Scott brought up, from previous discussion last month re: Vals, he feels that the turn around time is way too long for uniforms for CYO – order went in on 11/2 and he didn’t receive them until 12/7. He also never received scorebooks so he went elsewhere. Scott will talk to Vals.

John was wondering when clean up day would be and Sean has to get the info from Theresa – possibly 4/9.

John said that the clubhouse addition is coming along – siding came in. A big thank you to Hoosick Valley Contractors.

Al  reported that the girls softball field is finished – Valley Paving (5 men and their trucks/equipment) did a great job and had it done in 1 ½ days. Al doesn’t want dug outs.

New Business:

Sean is trying to make meetings shorter and use committees and communicate outside of the monthly meetings. Sean created new organizational charts. Bobby and Sean will review by laws and make any changes so they can be voted on in February. Sean will meet with coordinators to find out equipment needs and meet with Tony re: softball, Coach Brooks re: baseball and Theresa re: soccer to have repeatable guidelines for each sport.  Jerry mentioned that Coach Brooks needs new baseball screens – frame is in bad shape – nets have rope holding it together and it’s a safety issue. John suggested buying a new net and Al suggested tightening bolts since one of them was purchased 2 years ago.

Bobby will get prices for metal benches for the new girls softball field. If the prices aren’t reasonable Kim offered to discuss prices/possibility of wooden benches being made by Brian Rafferty.

Meeting motioned to adjourn at 7:36 p.m. by John and seconded by Bobby.

Next meeting at HV Elementary Library on 2/11/16 at 7:00 p.m.
